This LMS Data & Assessment Policy explains how AMC Academy Tech (“we”, “our”, “us”) manages learner data, assessment records, and related information within our Learning Management System (LMS) and training platforms. It should be read together with our Privacy Policy and Data Protection Statement.
1. Scope
This Policy applies to all learners, instructors, and corporate clients using our LMS and associated training services, including online courses, assessments, examinations, and certification pathways.
2. Types of Data Collected in the LMS
We may collect and process the following categories of data within the LMS:
- Identity data: name, email address, organisation, role.
- Account data: LMS username, enrolments, access history.
- Learning data: course progress, completion status, time spent, activity logs.
- Assessment data: quiz results, exam scores, attempts, feedback, grading records.
- Certification data: issued certificates, completion dates, validity periods.
- Technical data: IP address, device type, browser information, access timestamps.
3. Purposes of Processing LMS Data
We process LMS data to:
- Deliver and manage training programmes and learning content.
- Track learner progress and performance over time.
- Administer assessments, exams, and certification processes.
- Provide support to learners, instructors, and corporate clients.
- Generate reports for individuals and, where applicable, corporate clients.
- Improve course design, instructional quality, and platform performance.
- Maintain security, integrity, and auditability of training records.
4. Assessment Integrity & Academic Conduct
We are committed to maintaining the integrity of all assessments and examinations delivered through our LMS. Learners are expected to:
- Complete assessments honestly and without unauthorised assistance.
- Respect exam rules, time limits, and proctoring requirements where applicable.
- Refrain from sharing exam content, answers, or restricted materials.
We reserve the right to investigate suspected misconduct and, where necessary, take appropriate action, including invalidating results, suspending accounts, or notifying corporate clients or relevant authorities.
5. Feedback, Grading & Appeals
Assessment results and feedback may be made available to learners through the LMS. In some cases, results may also be shared with authorised representatives of corporate clients (e.g., training managers or compliance officers).
Where applicable, learners may request clarification or raise concerns about assessment outcomes. Any appeals process will be communicated as part of the specific course or programme.
6. Data Retention
We retain LMS and assessment data only for as long as necessary for the purposes described in this Policy and our Privacy Policy. In general:
- Assessment records: may be retained for up to 7 years.
- Certification records: may be retained for verification purposes for an extended period.
- Inactive accounts: may be archived or anonymised after a defined period of inactivity.
7. Data Sharing & Corporate Reporting
For corporate training programmes, certain LMS data (such as enrolments, progress, and completion status) may be shared with authorised representatives of the sponsoring organisation. This is typically done to support compliance, crew management, or professional development tracking.
We do not sell LMS data. Any third‑party LMS or hosting providers are bound by data processing agreements and act only on our instructions.
8. Learner Rights
Learners have rights under UK‑GDPR, including the right to access, correct, or request deletion of their personal data, subject to legal and contractual requirements. Some assessment and certification records may need to be retained to maintain the integrity and verifiability of qualifications.
9. Security & Access Control
We implement technical and organisational measures to protect LMS data, including secure authentication, access controls, encryption in transit, and activity logging. Access to assessment and certification data is restricted to authorised personnel and, where applicable, authorised corporate contacts.
10. Changes to This Policy
We may update this LMS Data & Assessment Policy from time to time to reflect changes in our systems, services, or legal requirements. The “Last updated” date at the top of this page indicates the most recent revision.
